ESSENTIAL DUTIES OF POSITION include the following:

Assist with office duties including but not limited to collecting data, preparing spreadsheets, organizing event materials, answering/making calls, corresponding with vendors, potential customers and event attendees as needed.

Assist with inventory and ordering of items needed to properly execute scheduled events including but not limited to alcohol, linens, and other supplies.

Assist with promotion of events, recognition of sponsors and establishing relationships with community businesses and potential sponsors.

Seek out alternative revenue streams including sponsorships, grants, donations, and other fundraising-related tasks as directed.

Assist with preparation of profit/loss reports from events, preparing invoices and tracking of bills/claims as directed.

Assist with contract preparation for Auditorium and City events.

Assist with event setup/preparation as directed by Civic & Event Director including Auditorium and City events.

Respond to email, telephone and walk-in inquiries as needed.

Respond to renter’s questions, inquiries from the public, provide tours of the building for potential customers including after hours and weekends when requested or needed.

Assist with Auditorium and City event planning including identifying new opportunities, recruiting vendors, volunteers and staffing as needed.

Assist with scheduling of volunteers and staff for events.

Directly supervises events in lieu of Director if needed Assist with Civic Auditorium and City calendar of events via the Auditorium and City website.

Provide support services for Director and/or Department staff.

Ability to adjust schedule as needed, working nights/weekends and limited holidays.

Perform other duties as assigned Depending on event(s), schedule for this position is subject to change.

SUPERVISORY RESPONSIBILITIES. Supervises and directs staff and volunteers at Civic Auditorium and City events as directed by or in lieu of the Civic & Event Director.

QUALIFICATIONS. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. KNOWLEDGE and/or EXPERIENCE. High school diploma or high school equivalency (HSE); or one to three months related experience and/or training; or equivalent combination of education and experience. College degree in marketing, management, or another related field preferred but not required. Prior experience in event coordination and planning is preferred and can be substituted for prior educational requirements listed.

LANGUAGE SKILLS. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Must be able to effectively communicate with public, donors, contacts and other departments within La Porte City Government. Must be able to communicate and demonstrate effective leadership and communication with other members of the team. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

WORK ENVIRONMENT. The Part-Time Assistant Civic & Event Director will split time between Civic Auditorium and community-wide events. The noise level in the work environment can range from moderate to very loud/uncomfortable. This position will work in a variety of environments including office, clerical and events with occasional exposure to various employee work sites found in city government. This employee’s work schedule demands availability on weekends, holidays, evenings, and emergencies.

CERTIFICATES, LICENSES, REGISTRATIONS Valid Driver’s License.

OTHER SKILLS, ABILITIES, QUALIFICATIONS. Proficiency with Microsoft Office applications including Word and Excel; principles of customer service, ability to communicate effectively - verbally and in writing; strong organizational skills; excellent personal, verbal and written communication skills; able to manage multiple projects while meeting deadlines; strong organizational skills.
